Office Manager

Duties and Responsibilities:
Manage all aspects of office functions, tasks, and responsibilities relating to its employees, clients and visitors.
• Liaison for Central Texas Office with Houston and Dallas offices.
• Provide aid to Attorneys and Legal Assistants as needed.
• Manage and coordinate with the office administration team to ensure performance provides successful results; Create solutions for administrative challenges; Responsible for distribution of workload when administrative employee is out of office; Responsible for training, evaluations, and working with Human Resources and Partners on corrective direction.
• Manage building maintenance and work order requests; Assist with emergency scenarios relating to uncontrolled events; Coordinate with Facilities Manager regarding building operations.
• Work with Human Resource Director to coordinate interviews, annual evaluations, on/ off-boarding documents, training schedules, employee relations, office conditions, office bulletins, annual insurance enrollments, safety reports, and workers comp claims.
• File and chart management of Central Texas District accounts, MUD meeting schedules, TPIA, and Notice to Purchaser.
• Manage Austin Calendar to ensure all meetings are accurately listed; Communicate with team regarding availability of conference rooms; Manage employee notifications and firm activity schedules.
• Maintain records for Efile; Coordinate with Records Director and employees regarding file maintenance.
• Manage facilitation of meetings, meal set-up and client readiness. Instruct Office Assistant accordingly.
• Maintain annual publications, subscriptions, vendor accounts and orders.
• Check Processing; Work with Finance Director regarding records.
• Manage office safe with sensitive materials or objects needing security; Manage functions for user access.
• Make office purchases with business credit card and work with Finance Director regarding receipts and billing details.
• Manage and maintain adequate inventory of office and break room supplies.
• Responsible for incoming and outgoing packages with prompt distribution.
• Responsible for the set-up of firm meetings and office trainings; print Agendas and attachments for Attorney readiness.
